Building Scalable UX Writing Systems for a Rapidly Growing Health Tech Platform

Hero Summary

Role: Senior UX Writer & Content Strategist
Duration: 2 years (Freelance)
Sector: Health Tech / Diagnostics
Tools: Figma, Confluence, Jira, CrowdIn

Context

Platomics is an Austrian health technology company accelerating molecular diagnostics through a secure digital ecosystem connecting laboratories, manufacturers, and clinicians. Their platform enables labs to configure, validate, and manage diagnostic workflows with accuracy and compliance.

I joined as a freelance UX Writer and Content Strategist during a critical growth phase. The main users were laboratory professionals, manufacturers, and internal administrators who required clarity, accuracy, and reliability in product communication.

Problem / Goal

Platomics’ product and design teams, composed largely of non-native English speakers, were producing UX copy without centralized oversight. This created inconsistency in tone, terminology, and messaging. Copy was often added at the end of design cycles, treated as proofing rather than part of UX strategy.

The company needed to:

  • Integrate UX writing into the design process from the earliest stages.

  • Establish a unified product voice and terminology framework.

  • Prepare content for localization and translation at scale.

  • Adapt to a new subscription-based business model.

  • Simplify regulatory and compliance copy for better user understanding.

“Catherine enhanced product clarity, consistency, and customer satisfaction. She provided clear work instructions, tools like GPT plug-ins, and helped establish sustainable translation and copywriting processes.”

Valerie Perkonigg, Product Manager, Platomics (2025)

My Role

I acted as the primary UX Writer, embedding myself within the design and product teams to guide copy strategy and ensure consistency.

Collaboration Highlights:

  • Partnered daily with designers in Figma, ensuring UX copy informed design decisions early.

  • Worked closely with product managers and regulatory leads to ensure accuracy and compliance.

  • Contributed to localization planning, consulting on the implementation of Crowdin and drafting translation and grammar standards.

  • Supported the strategic transition to a subscription model, refining marketing and UI copy to create clearer, more engaging language.

  • Assisted the regulatory team in redrafting platform questionnaires to improve user-friendliness while maintaining neutrality.

  • Authored GSPR (General Safety and Performance Requirements) explanations, transforming technical legal text into actionable, user-focused guidance.

  • Maintained focus and delivery throughout multiple leadership and strategic shifts, ensuring continuity and consistency despite frequent organizational change.

Ownership Areas:

  • Product Voice & Tone

  • UX Copy across all features and flows

  • Localization Strategy

  • Regulatory Copywriting

  • Content Governance

“Catherine is a fantastic UX writer and content strategist with a true eagle eye for detail. She catches things most of us would miss and knows exactly how to shape copy for different types of users. She also built AI tools for our team to check and improve our own writing—smart, practical, and incredibly helpful.”
Neda Shariat, Senior Product Manager, Platomics (2025)

Process

  1. UX Copy Audit: Evaluated user journeys to identify inconsistencies and redundant or unclear messaging.

  2. Voice, Tone & Writing Guidelines: Developed comprehensive guidelines defining tone for various UI states. These were co-created with input from product, legal, and marketing.

  3. Terminology & Glossary Development: Built a shared glossary and contextual documentation to ensure consistent use of key scientific and operational terms.

  4. Localization Readiness: Consulted on Crowdin integration, standardized grammar and spelling, and wrote multilingual translation guidelines for future markets.

  5. Component Copy Standards: Created microcopy guidelines for each UI component within the design system, embedding these standards directly into Figma.

  6. Microcopy Strategy Roadmap: Created a detailed improvement plan prioritizing high-impact UX writing issues and aligning them with company goals. The roadmap defined both short-term fixes (error states, onboarding clarity) and long-term objectives (content scalability, documentation, and localization readiness), with measurable milestones to track adoption and success across teams.

  7. AI Writing Assistant: Designed and implemented a custom GPT-based bot to support designers in checking tone, terminology, and grammar, reducing dependency on manual reviews.

  8. Regulatory UX Support: Partnered with the regulatory team to refine questionnaires and compliance copy into simple, actionable, user-friendly language.
